How do I email an invoice into QuickBooks?
Forward the supplier's email to your ForwardThis address with some simple instructions, like "put this in QuickBooks as a bill, due end of month". ForwardThis shows you the bill first, records it once you say yes, and attaches the invoice straight from the email. The first time, you will need a free ForwardThis account with QuickBooks connected - it takes about 30 seconds.
Is this for supplier invoices or for receipts?
Supplier invoices: money you still owe. The invoice records as a bill with a due date, so it shows up in what's payable and nothing gets forgotten. A receipt for money already spent records as an expense instead - that's its own job, and ForwardThis handles both.
Does anything land in my books without me seeing it first?
No. QuickBooks has no draft state, so a bill is live in your accounts the moment it is created. Because of that, ForwardThis always shows you the bill first, with the supplier, the amount, the due date and the category, and nothing is recorded until you say yes. The confirmation email also includes an undo that works for 24 hours, which deletes the bill from your books.
Can it read the amount off the invoice PDF?
No. ForwardThis reads your email, not the inside of the attachment. Most supplier emails carry the amount in the message and that is what gets used; if it only appears in the file, put it in your message when you forward. The PDF itself is attached to the bill as the source document.
Will the bill be paid or sent anywhere?
No, and it never will be. ForwardThis never moves money. Recording the bill keeps your books and your payables right; paying it stays yours to do in QuickBooks, and nothing is emailed to the supplier.
Does it work with Outlook and other email apps?
Yes. ForwardThis works with any email provider: Gmail, Outlook, Apple Mail and everything else. If it can forward an email, it works.
What happens to my email afterwards?
It gets deleted. ForwardThis holds your email briefly in case you press undo, then removes it completely. Nothing is stored long term.
