How do I email an invoice into Xero?
Forward the supplier's email to your ForwardThis address with some simple instructions, like "record this as a bill from Calder Building Supplies for £2,180, due 26 September". ForwardThis drafts the bill, attaches the PDF straight from the email, and replies to confirm with a link. The first time, you will need a free ForwardThis account with Xero connected - it takes about 30 seconds.
Will the bill be posted or paid?
No. Everything ForwardThis creates in Xero is a draft, and it stays one until you approve it yourself in Xero. Nothing is authorised, issued, emailed or paid, and nothing is filed with HMRC. ForwardThis never moves money.
Can it read the amount off the invoice PDF?
No. ForwardThis reads your email, not the inside of the attachment. Put the amount and the due date in your message and they are used; the PDF itself is attached to the draft as the source document.
Doesn't Xero have its own email address for bills?
It does. Your organisation has a bills address, and a PDF you forward there arrives as a draft bill with the file attached. If that suits your flow, use it. ForwardThis fills in the amount, the date and the supplier from your instructions in the same forward, and replies to tell you exactly what it drafted.
Can I email receipts to Xero the same way?
Yes. A receipt records the same way: ask for a bill for the amount, dated when you paid, and have the receipt attached to it.
What if it drafts the wrong thing?
The confirmation email includes an undo that works for 24 hours, which deletes the draft. Nothing had been posted to your accounts in the first place, so there is nothing to correct after the fact.
Does it work with Outlook and other email apps?
Yes. ForwardThis works with any email provider: Gmail, Outlook, Apple Mail and everything else. If it can forward an email, it works.
What happens to my email afterwards?
It gets deleted. ForwardThis holds your email briefly in case you press undo, then removes it completely. Nothing is stored long term.
