How it works
Forward the email to your ForwardThis address with some simple instructions, like "set up a 30-minute Zoom for Thursday at 2pm and put it in my calendar with priya@northgatelegal.co.uk".
The Zoom meeting is created first, with the length, the passcode and the waiting room set the way your instructions ask, and the join link comes straight back.
The calendar event is created for the same time. Because it invites somebody, ForwardThis checks with you before it creates it and shows you the time and the guest list first.
You receive a confirmation email with the join link and the event, plus an undo button if something doesn't look right. Undo removes both, and anyone invited to the calendar event gets the cancellation.

- How do I create a meeting from an email?
- Forward the email to your ForwardThis address with some simple instructions, like "set up a 30-minute Zoom for Thursday at 2pm and put it in my calendar". ForwardThis creates the Zoom meeting, holds the slot in your calendar and replies with the join link. All you need is a free ForwardThis account with Zoom and Google Calendar connected - it takes about 30 seconds.
- Does the calendar invite include the join link?
- Not on its own. The join link comes back to you in the confirmation email, so you can paste it into the invitation or send it on. If you would rather the link was already in the invitation, ask for a Google Meet link instead: a Google Calendar event makes its own, and everyone invited can see it.
- Can I do this from Outlook?
- Yes. ForwardThis works with any email provider, so a Zoom meeting created from an Outlook email works exactly the same as one created from Gmail: forward it, add your instructions, and the meeting is set up. Your calendar can be Google Calendar or Outlook Calendar.
- Who gets invited, and when do they hear about it?
- Whoever your instructions name, by email address. Guests are emailed the moment the calendar event exists, so ForwardThis checks with you before it creates it. Addresses found inside the forwarded email are never turned into guests, so nobody copied on a long thread ends up in your meeting.
- Can it set the length, a passcode or a waiting room?
- Yes. Thirty minutes is the default length, and your instructions can change it, set a passcode, turn the waiting room on or off, decide whether people can join before you, and add an agenda. A repeating meeting works too, like every Monday at 10.
- Can it move or cancel a meeting I already have?
- Yes. ForwardThis finds the meeting by what it is called and can change the time, the length, the agenda and the entry rules. Zoom emails nobody for a plain reschedule and the join link stays the same, so send the new time on yourself. Cancelling always asks you first.
- Can it tell me who actually joined, or find the recording?
- Yes. Forward a note asking who joined a meeting and the attendance comes back by email, and it can list your cloud recordings and their links for a date range. Both are answers in your inbox, so nothing is changed in the process.
- What happens to my email afterwards?
- It gets deleted. ForwardThis holds your email briefly in case you press undo, then removes it completely. Nothing is stored long term.
