- How do I save an email to Box?
- Forward it to your ForwardThis address with some simple instructions, like "file this under Clients/Ellis Roofing/Policies". ForwardThis saves the attachment to the right folder, adding a (2) to the name if Box already has one like it, and replies with a link. The first time, you will need a free ForwardThis account with Box connected. It takes about 30 seconds.
- Doesn't Box have its own email upload address?
- It does. Box can give each folder its own upload address, which suits one fixed destination. It is set up folder by folder, though, and the address cannot follow instructions. ForwardThis is one address for everything: name the folder in the email, and the file lands there.
- What if I name a folder that does not exist?
- No problem. ForwardThis can create folders in your Box account for you, and the confirmation tells you when it has.
- What if a file with the same name is already there?
- Nothing is overwritten. The new file is saved with a (2) suffix instead, and the confirmation shows the name it was given.
- Can it share the folder it filed into, or tell me who already has access?
- Yes to both. Name the person and whether they should view or edit, and the file or the whole folder is shared with them, after ForwardThis shows you who is about to get access. A link anyone can open works too, though a Box folder link is view-and-download only, because Box has no edit link for a folder. Ask who can see a file or a folder and the list of collaborators comes back in a reply.
- What happens to a file it removes from Box?
- It goes to your Box trash, the same one you use yourself, so nothing is deleted for good. You can restore it from Box as well as from the undo in the confirmation email, and ForwardThis checks nobody else has touched the file before it moves anything back.
- Does it work with Outlook and other email apps?
- Yes. ForwardThis works with any email provider: Gmail, Outlook, Apple Mail and everything else. If it can forward an email, it works.
- What happens to my email afterwards?
- It gets deleted. ForwardThis holds your email briefly in case you press undo, then removes it completely. Nothing is stored long term.
