- How do I send an email to Box?
- Forward the email to your ForwardThis address with a line saying where it belongs, like "save the attachment in Clients/Northgate/Contracts". ForwardThis saves the file there straight from the email, creates the folder if it isn't there yet, and replies to confirm with a link. The first time, you'll need a free account with Box connected, which takes about 30 seconds - that's the entire Box email integration, and there's nothing else to set up.
- Can it save an attachment into a folder that doesn't exist yet?
- Yes. If your line names a folder that isn't there, ForwardThis creates it and files the attachment inside. If a file of the same name is already in that folder, the new one is saved alongside it as a second copy rather than replacing what's there, so nothing you already had is overwritten.
- Can it share a file with someone outside my team?
- Yes. Name the person's email address and whether they should be able to view or edit, or ask for a link anyone can open. It can take access away again the same way, and tell you who can currently see a file. Because sharing reaches other people, it shows you who is about to get access and waits for your yes first.
- What if it files something in the wrong place?
- The confirmation email includes an undo that works for 24 hours, and it checks nobody else has touched the file before putting things back. You can also just reply and say where the file should have gone. Nothing it does deletes anything permanently: when it removes a file, the file goes to your Box trash, where you can restore it.
- How is this different from Box's own email upload address?
- Box can give a folder its own upload address, and everything sent there lands in that one folder with whatever name it arrived with. Here one address covers every folder, the line you write picks the folder and the filename, and the same email can also share the file, ask someone to review it, or create the follow-up work in your other apps.
