- How do I send an email to Greenhouse?
- Forward the candidate's email to your ForwardThis address with a line asking what you need, like "where is she up to in Greenhouse?". It looks the person up and replies with which roles they have applied for and what stage each application is at. It reads Greenhouse only: it can list your open jobs and look a candidate up by email address. The first time, you'll need a free account with Greenhouse connected, which takes about 30 seconds - that's the entire Greenhouse email integration.
- How do I check a candidate's stage by email?
- Forward their message and ask. Greenhouse identifies candidates by email address, so it uses the address on the email or the one you write in your line, and it will tell you it needs an address rather than guessing from a name. The reply names each role they are in, the stage they have reached, and whether the application is still active.
- Can ForwardThis move a candidate forward or reject them?
- No, and that is a deliberate decision rather than a missing feature. Advancing or rejecting somebody is a judgement about a real person's job, and it should be made by a named human inside Greenhouse. Greenhouse also wants to record which user took the action, and a forwarded email cannot answer that honestly, so the writing side is left out completely.
- Can it tell me which roles we have open?
- Yes. Ask and the reply lists your open jobs with the department each one sits in, which is enough to answer the "are we still hiring for that?" email without opening the account or asking the recruiter.
- How is this different from Greenhouse's own notifications or Zapier?
- Greenhouse already emails you when a candidate moves, which is the better choice for keeping up with a pipeline you own. Zapier suits pushing candidate data into another system on a schedule. ForwardThis is for the question that arrives out of nowhere, usually from the candidate themselves, when you want to know where they stand before you write back.
