Outlook Calendar email integration

ForwardThis reads the time out of an email and puts the event in your Outlook calendar, with a Teams link on it and the guests from the email invited. It can only cancel a meeting you organise yourself, and it declines the rest on your behalf instead.

Get started

Setup in 30 seconds.

How it works

  1. Connect Outlook Calendar

Create a free account and connect Outlook Calendar. It takes about 30 seconds, and you only do it once.

  2. Forward an email

Forward any email to your ForwardThis address along with your instructions. One email can ask for several things at once.

  3. Done.

ForwardThis replies when it's done, with a short summary and links to what it made, and an undo button if something doesn't look right.

Just forward it

Fwd: Northgate kickoff - Thursday?

Put this in my calendar for Thursday at 2 for an hour, invite Dan, add a Teams link, and save the agenda in OneDrive under Projects/Northgate.

---------- Forwarded message ----------

Thursday afternoon suits us. Anything after 1 works and an hour should cover it. Agenda attached so everyone knows what we're deciding.

Why you need ForwardThis

Email is messy, every message asking for something different. It means constantly leaving your inbox and juggling tabs. ForwardThis skips all of that: forward an email along with some simple instructions, and it’s handled. Compatible with every email provider, and it works across the apps you’re already using.

Questions

How does the Outlook Calendar email integration work?
Forward the email to your ForwardThis address with a simple instruction saying when it should happen, like "put this in my calendar for Thursday at 2 for an hour". ForwardThis creates the event on your Outlook calendar, takes the title and the detail from the email, invites the guests from the email, and replies to confirm. The first time, you'll need a free account with Outlook Calendar connected, which takes about 30 seconds. Making an Outlook event out of an email has a page of its own.
Can it invite the person who sent the email?
Yes. Name them in your instructions and they're invited with the event. Outlook emails every attendee an invitation the moment the event exists, so ForwardThis shows you the time, the guest list and what the invitation says, and waits for your yes before any of it goes out.
Can it add a Teams link, a reminder, or make the event repeat?
Yes to all three. Ask for a video link and a Teams link is added to the event. Ask for a reminder and it's set. Ask for "every Monday" and the event repeats, and a later change lands on just that one occurrence unless you ask for the whole series.
Can it tell me what's on, or when I'm free?
Yes. Ask what you have on for a day or a week and the list comes back by email. Ask when you're free, or for 30 minutes next week, and it works out the gaps rather than reading back what is already booked, and you can hold it to your working hours. Anything you have marked as free is not counted as busy.
Can it cancel a meeting for me?
Only one you organise yourself. Every attendee gets Outlook's cancellation email and that cannot be recalled, so it is shown to you first. For a meeting somebody else set up, it declines on your behalf instead, which tells the organiser and leaves their meeting standing.
Which calendar does it use if I have several?
Your default one, unless you say otherwise. Name another calendar in your instructions and the event goes there, and you can ask which calendars this Outlook account can see if you are not sure what they are called.
