- How do I send an email to Podio?
- Forward the email to your ForwardThis address with a line saying which app it belongs in and what to do, like "add this to the Leads app - company Morris Fitness, status New". ForwardThis adds the item with those fields filled in and replies to confirm. The first time, you'll need a free account with Podio connected, which takes about 30 seconds.
- Can I create a Podio item from an email?
- Yes. Forward the email, name the app, and give the field values you want - ForwardThis matches them to the app's own field labels, so "status Won" lands in your Status field as the real Won option. It replies to confirm, and undo works for 24 hours.
- Do I have to set anything up first?
- Connect Podio once - it takes about 30 seconds - and you're done. There's nothing else to set up: each email you forward says what should happen to it.
- Can it fill in my app's fields?
- Text, number, category and date fields, matched to the labels your app already uses. Category values are matched to the field's real options, and if you name a field or an option that doesn't exist, it tells you what the app actually has instead of guessing. Money, contact and relationship fields aren't filled from email, because those need more than loose text.
- What if it adds something to the wrong app?
- The confirmation email includes an undo that works for 24 hours - a new item is removed, and an edit is put back exactly as it was. If someone on your team has changed the item again in the meantime, undo leaves their work alone and tells you so.
- How is this different from Podio's own email-to-app feature?
- Podio gives each app its own hidden email address, and whatever you send becomes one new item holding the raw email - if that's all you need, it works well. ForwardThis uses one address for every app, fills in the fields you name, and can update an existing item, add a comment or find something instead of only creating. It can also do the follow-up work in your other apps, like creating the task to deal with it.
- Does it work with Gmail and Outlook?
- Yes. Forwarding an email is the whole integration, so it works the same from Gmail, Outlook or anything else that sends email - there's no separate Gmail integration or Outlook integration to install, and nothing changes when you switch email apps.
